Archived emails in Outlook are usually not deleted—they are simply moved out of your main inbox. If you cannot find a message anymore, the fix is often to check the Archive folder, search your mailbox properly, or restore mail from an Outlook data file if you used AutoArchive or local archiving.
This guide shows the most common ways to recover archived emails in Outlook on Windows, Outlook on the web, and Outlook for Microsoft 365, along with a few troubleshooting steps for messages that seem to have disappeared.
First, check where the email was archived
Before trying anything advanced, make sure you know which kind of archiving was used. In Outlook, an email may be:
- Moved to the Archive folder inside your mailbox
- Stored in an Outlook data file such as a PST file
- Automatically moved by AutoArchive in desktop Outlook
- Archived on the server in Outlook on the web or Microsoft 365
Recover archived emails from the Archive folder
If you used Outlook’s Archive button, the message is usually still in your mailbox and can be moved back to the inbox or another folder.
- Open Outlook and go to the Archive folder in the folder list.
- Find the email you want to restore. You can use the search box if needed.
- Right-click the message and choose Move or the Move to Folder option.
- Select Inbox or another folder you want the message returned to.
- Confirm the move if Outlook asks you to.
Recover archived emails in Outlook on the web
In Outlook on the web, archived mail is usually stored in the Archive folder under your mailbox.
- Sign in to Outlook on the web.
- Open the Archive folder in the folder pane.
- Find the email you want to recover.
- Select the message and choose Move to, or drag it to Inbox.
- If needed, use the search bar to locate the message first.
Restore emails from a PST archive file in desktop Outlook
If you used AutoArchive or manually saved mail to a PST file, the archived messages may not appear in your normal mailbox folders until that data file is opened in Outlook.
- Open Outlook on the desktop.
- Go to File, then Open & Export.
- Choose Open Outlook Data File.
- Browse to the PST file that contains your archived mail and open it.
- Look for the archive mailbox or archive folder that appears in the left pane.
- Find the email and move it back to Inbox or another folder.
Use Outlook search to find archived mail
If you are not sure whether a message was archived, search is often the fastest way to locate it. Search can find mail in your inbox, Archive folder, and sometimes in connected archive files, depending on how Outlook is configured.
- Click in the Outlook search box.
- Enter the sender name, subject, or a keyword from the email.
- If available, change the search scope to All Mailboxes or Current Mailbox.
- Open the matching message and move it back if needed.
Check whether AutoArchive moved the message somewhere else
Older versions of Outlook and some desktop setups use AutoArchive to move old mail out of the inbox into an archive file automatically. If your email disappeared after a certain date, AutoArchive may be the reason.
- Look for a folder named Archive, Online Archive, or something similar in Outlook.
- Check whether Outlook is connected to an additional data file or archive mailbox.
- Search by date range if you remember roughly when the message arrived.
- Review Outlook’s AutoArchive settings if old mail keeps moving unexpectedly.
If the email was deleted instead of archived
Sometimes a message is thought to be archived when it was actually deleted. In that case, you may still be able to recover it from Deleted Items or Recoverable Items, depending on your account and organization settings.
- Open the Deleted Items folder.
- Look for the missing email and move it back if it is there.
- If it is not there, check for a Recover Deleted Items or Recover Items option.
- Restore the message if it is available in the recovery list.
When archived emails still do not appear
If you have searched the Archive folder, opened the PST file, and checked Deleted Items but still cannot find the message, the problem may be one of these:
- You are signed into the wrong Outlook account
- The archive file is not currently connected to Outlook
- The message was permanently deleted
- A search filter is hiding the result
- The mailbox is syncing incompletely on one device
How to prevent archived mail from getting lost
Once you recover the message, a few habits can make it easier to find archived mail later:
- Keep archive folders clearly named
- Use the same account in desktop and web Outlook
- Move important archived messages back to a labeled folder instead of leaving them buried in Archive
- Avoid manually moving PST files unless you know where Outlook expects them
- Search by sender and subject, not only by date
What to do if Outlook is missing your archive folder
If the Archive folder itself is missing, Outlook may not have created it for that account, or it may be hidden in a collapsed folder list. In desktop Outlook, expand the mailbox tree and check for additional data files. In Outlook on the web, open the folder pane fully and look for Archive under the mailbox name.
Choosing the right recovery method
If the message was moved with the Archive button, restore it from the Archive folder. If it was saved into a PST file, open that archive file in desktop Outlook first. If it was deleted, check Deleted Items and recovery options instead. Matching the recovery method to the type of archive is the fastest way to get the message back without unnecessary steps.
